Package 4: 8-Hour VIP Child Minding

This VIP package is designed to provide seamless, enhanced child-minding services throughout your event, allowing participants to fully engage while their children participate in a safe, comfortable, and engaging environment with additional conveniences incorporated into the experience.

• Venue Requirement:  Child-minding is provided on-site at the event location; a separate, designated room with a private or immediately adjacent washroom is mandatory to maintain internal company staffing levels during bathroom breaks.

• Mealtime Facilitation:  Families have the flexibility to have their children join them for dinner at the venue reception or have them enjoy meals within the child-minding space.

  • Parents/guardians are responsible for selecting and ordering their child's meal from the event venue's menu and delivering the prepared meal to the child-minding room at the designated mealtime.

  • Our Event Child Minding Specialists will safely facilitate the children's mealtime and manage cleanup.  All food items brought into the child-minding room must be nut-free to maintain a safe environment for the children.

• Bathroom and Diapering Assistance:  Our Event Child Minding Specialists will assist with toileting and diapering needs in accordance with parent/guardian direction and preferences.  To maintain high standards of child safety and protection, all personal-needs assistance is managed in accordance with our internal multi-staff visibility protocols. Parents/guardians must provide a fully stocked diaper bag (diapers, wipes, change of clothes) and any necessary comfort items (pacifiers, sleep sacks) at check-in. All items must be clearly labelled with the child's name.

• Curated Activities:  A variety of age-appropriate toys and activities are included to keep children engaged throughout the day and evening.

• Secure Check-In & Check-Out:  To ensure accurate attendance management in this dedicated child-minding area, a formal matching photo-ID check-in and check-out process is strictly enforced. Children will only be released to the specific individuals designated on the pre-registered authorized pick-up list.

• Base Package Pricing:  The package price of $1,850 includes up to 8 hours of child-minding for up to eight children aged 2 and older, with two Event Child Minding Specialists assigned to the group for the full 8-hour booking, plus one 4-hour relief Specialist scheduled to provide coverage for staff breaks.

• Children Aged 2 to Under 3: To maintain company safety requirements within a large group, a maximum of four children aged 2 to under 3 may be included in the base package. If a fifth child in this age category is added, an additional Event Child Minding Specialist fee of $400 will apply.

• Additional Children: Additional children aged 2 and older may be accommodated for $240 per child, up to a strict package maximum of 10 children total, subject to staff availability. If an additional child aged 2 to under 3 causes the total number of children in this age category to exceed four, the additional Event Child Minding Specialist fee of $400 will apply. This additional staffing fee ensures appropriate personnel are available to accommodate the larger group while maintaining required coverage during scheduled staff rest breaks.

• Dedicated Infant Child Minding Option:  Children under the age of 2 require dedicated 1:1 child-minding and may be included for an additional $400 per child. A dedicated Event Child Minding Specialist will be assigned to the infant for the 8-hour event window (excluding the 30-minute break period). The Specialist will assist with diapering, nap routines, bottle feeding, and infant meal schedules during the event, allowing parents/guardians to remain engaged in the gathering. This option also includes age-appropriate mobile play gear and sensory items.

  • Infant Rest Break Policy: To allow the dedicated 1:1 Event Child Minding Specialist to take their scheduled rest break, parents/guardians will be asked to take responsibility for their infant during a designated 30-minute period scheduled around the event’s main mealtime. Parents/guardians may return the infant to the child-minding space once the Specialist's break has concluded.

  • Infant Child Minding Essentials:  Parents/guardians are responsible for providing a fully stocked diaper bag (diapers, wipes, and a change of clothes) and all necessary breast milk, prepared formula, labelled bottles, and infant food (such as purées or soft finger foods) at check-in. To reduce the risk of food-related allergic reactions and maintain a safe child-minding environment, all food items permitted under the Dedicated Infant Child Minding Option must be nut-free.

• Safety & Liability Waivers:  All parents/guardians will be required to complete and sign a liability waiver that includes, but is not limited to, critical medical information and an authorized pick-up list. Waivers must be received at least 5 days prior to the event.

• Late Registration:  Late waivers will be considered on an individual basis and are subject to room capacity, attendance limits, and staffing already allocated to the event.

• Scheduling Windows:  The exact 8-hour child-minding window must be confirmed upon booking.  Child-minding may be scheduled between 10:00 AM and 11:00 PM, but must be a single, continuous 8-hour block of time (it cannot be split across different parts of the day).
