Package 6: 8-Hour Outdoor Stay-and-Play Zone

This package transforms an outdoor venue into a family-friendly play area, offering children an inviting space to explore and play while giving parents the flexibility to stay engaged with the event.

• Venue Requirement:  A dedicated outdoor open play and activity area will be created within the main event space. Our Event Child Minding Specialists will facilitate and monitor play and activities within the play zone; however, this package does not include a formal check-in or check-out process for general Stay-and-Play participation. Entry to the play zone will be monitored by our staff through a wristband system at the designated entrance.

• Surface & Restroom Accessibility: The host must ensure the play-zone footprint is situated on a level grass or paved surface within reasonable proximity to functional venue washrooms.

• Curated Activities:  A variety of age-appropriate, durable outdoor toys, lawn games, and activities will be provided to create an inclusive, high-energy, and engaging play environment, alongside interactive group activities such as scavenger hunts, photo challenges, and detective challenges.

• Aesthetic Perimeter:  Premier Event Buddies Ltd. will provide aesthetically pleasing, safe, freestanding play zone fencing to create a clearly defined play zone perimeter. The low-profile fencing will be appropriately secured for the applicable surface and can be safely decorated by the event host to complement the theme and style of the celebration.

• Weather Protection:  An all-weather canopy is provided to offer shade and shelter from light rain, helping create a more comfortable outdoor play environment in suitable weather conditions.

• Parent-Supervised Zone:  This is a Parent-Supervised Stay-and-Play Zone. Parents/guardians retain responsibility for their child's direct supervision and behaviour and must remain physically present inside or directly adjacent to the play-zone fencing at all times.

• Personal Needs:  Parents/guardians are responsible for all feeding, diapering, toileting, and other personal needs while their child participates in the Stay-and-Play Zone. To help maintain a clean and allergy-conscious play environment, the Stay-and-Play Zone is a strict zero-food zone. Parents/guardians must accompany children outside the play-zone fencing for all snacks and meals. Labelled, spill-proof water bottles are permitted. Infant bottles and food are permitted only under the Dedicated Infant Child Minding Option and must meet the requirements outlined below.

• Scheduled Meal Closure: The play zone will close for 30 minutes during the designated event mealtime to provide our Event Child Minding Specialists with their scheduled rest breaks during the 8-hour booking. The zone will reopen once the scheduled break period has concluded.

• Base Package Pricing:  The package price of $1,450 includes up to 8 hours of Stay-and-Play service for children aged 2 and older, with a maximum of 10 children participating within the play zone at any one time. Two Event Child Minding Specialists will facilitate activities, monitor participation, and manage the play-zone environment throughout the booking.

• High-Capacity Option – 11 to 20 Children: For larger events, the Stay-and-Play Zone may be expanded to accommodate up to 20 children at any one time. This high-capacity tier requires an expanded equipment footprint and an additional Event Child Minding Specialist fee of $400, plus a flat $75 High-Capacity Operational & Equipment Rider to account for the increased space requirements, safety infrastructure, equipment, and interactive programming. The 20-child participation limit will be maintained at the entrance through a one-in, one-out wristband system once capacity has been reached.

• On-Site Safety Waivers:  All parents/guardians will be required to complete and sign a brief liability waiver on-site before their child enters the Stay-and-Play Zone. A QR code will be available at the entrance for digital completion, with a paper version available as an alternative. Once the waiver has been completed, the child will receive a wristband permitting participation in the Stay-and-Play Zone throughout the event, subject to the zone's capacity limit.

• Infant Policy:  Children under the age of 2 are welcome to participate in the Stay-and-Play Zone but must be directly accompanied by a parent/guardian inside the play-zone fencing at all times, unless the Dedicated Infant Child Minding Option has been pre-booked.

• Dedicated Infant Child Minding Option: For families who would like their infant to participate without remaining directly accompanied by a parent/guardian, a dedicated 1:1 child-minding option for children under the age of 2 may be added for an additional $400 per infant. A dedicated Event Child Minding Specialist will be assigned to the infant for the 8-hour event window (excluding the 30-minute break period). The Specialist will assist with diapering, nap routines, bottle feeding, and infant meal schedules during the event, allowing parents/guardians to remain engaged in the gathering. This option also includes age-appropriate mobile play gear and sensory items.

  • Infant Rest Break Policy: To allow the dedicated 1:1 Event Child Minding Specialist to take their scheduled rest break, parents/guardians will be asked to take responsibility for their infant during a designated 30-minute period scheduled around the event’s main mealtime. Dedicated 1:1 child-minding will resume once the Specialist's break has concluded.

  • Infant Child Minding Essentials:  Parents/guardians are responsible for providing a fully stocked diaper bag (diapers, wipes, and a change of clothes) and all necessary breast milk, prepared formula, labelled bottles, and infant food (such as purées or soft finger foods) at check-in. To reduce the risk of food-related allergic reactions and maintain a safe child-minding environment, all food items permitted under the Dedicated Infant Child Minding Option must be nut-free.

  • Pre-Registration Waivers:  All parents/guardians selecting the Dedicated Infant Child Minding Option are required to complete and sign our comprehensive liability waiver—including, but not limited to, critical medical information and an authorized pick-up list—at least 5 days prior to the event. Late waivers will be considered on an individual basis and are subject to attendance limits and staffing already allocated to the event.

  • Secure Check-In & Check-Out:  A formal matching photo-ID check-in and check-out process will be strictly enforced for families selecting the Dedicated Infant Child Minding Option. Infants will only be released to the specific individuals designated on the pre-registered authorized pick-up list.

• Scheduling Windows: The exact 8-hour Stay-and-Play Zone window must be confirmed upon booking. Stay-and-Play Zone hours may be scheduled between 10:00 AM and 11:00 PM, but must consist of a single, continuous 8-hour block of time and cannot be split across different parts of the day.

• Inclement & Extreme Weather Policy: While an all-weather canopy is provided, Premier Event Buddies Ltd. reserves the right to modify, suspend, or discontinue outdoor Stay-and-Play operations or require relocation to a suitable indoor backup location when weather, air quality, site conditions, or other environmental factors create unsafe or unsuitable operating conditions. This includes, but is not limited to, excessive winds, active lightning, heavy rain or flooding, extreme heat, and elevated Air Quality Health Index (AQHI) conditions. Securing a suitable indoor backup location is the responsibility of the event host. No refunds or discounts will be issued for weather-related interruptions, suspensions, or venue-required relocations.

 

This option provides a relaxed and engaging outdoor Stay-and-Play experience, giving families the flexibility to remain connected to their children and the event while providing a dedicated space for outdoor play and activities.
